Privacy and POPIA notice
This notice explains how Vortex Media collects, uses, shares and protects personal information, and what your rights are. It is issued in terms of section 18 of the Protection of Personal Information Act 4 of 2013 (POPIA).
Who is responsible for your information
The responsible party is Vortex Media, an out-of-home advertising media owner operating in Johannesburg, Gauteng, South Africa. You can reach us at briefs@vortexmedia.co.za or 078 427 1425.
Our Information Officer is Hein van Vuuren, the head of the private body as contemplated in section 56 of POPIA, reachable at briefs@vortexmedia.co.za.
What we collect
Through the enquiry form on this site we collect your name, company name, email address, telephone number, the inventory you expressed interest in, and anything you write in the message field. Our web host records standard server logs, including IP address and browser type, for security and diagnostics.
We do not collect special personal information as defined in section 26 of POPIA, and this site is not directed at children.
Why we process it, and on what lawful basis
We process your information to respond to your enquiry, check site availability, prepare a media recommendation, issue a rate card, and manage the resulting booking. The lawful basis is section 11(1)(b) of POPIA — processing necessary to conclude or perform a contract with you — and, for follow-up communication, your consent, given by ticking the consent box on the form.
Direct marketing
We will only send you unsolicited electronic marketing if you have consented, as required by section 69 of POPIA. Every marketing message identifies the sender and gives you a way to opt out. You may withdraw consent at any time by replying to any message or writing to the address below, at no cost.
Who we share it with
We do not sell your personal information. We share it only with our own staff and representatives who need it to respond to you, and with operators who process it on our behalf under a written contract requiring confidentiality and appropriate security — currently our email, hosting and customer-records providers. Where an operator processes information outside South Africa, we rely on section 72 of POPIA, which requires comparable protection.
How long we keep it
We keep enquiry records for three years from our last contact with you, after which they are deleted or de-identified. Where a booking results, we keep the associated records for the period required by tax and companies legislation, which is generally five years.
How we protect it
We apply reasonable technical and organisational measures as required by section 19 of POPIA, including encrypted transport for this website, access control on our records, and confidentiality obligations on staff and operators. If a security compromise affects your personal information we will notify you and the Information Regulator as section 22 requires.
Your rights
Under POPIA you have the right to:
- ask us to confirm, free of charge, whether we hold personal information about you, and to request a copy of it (section 23);
- ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or obtained unlawfully (section 24);
- object, on reasonable grounds, to our processing of your information (section 11(3));
- withdraw consent where our processing relies on it;
- complain to the Information Regulator.
To exercise any of these rights, write to briefs@vortexmedia.co.za. We may ask you to verify your identity before we act. A request to access information must be made on the form prescribed under the Promotion of Access to Information Act.
